The University of Virginia School of Law seeks a Library Finance and Administration Assistant to support the Acquisitions and Administration Departments of the Arthur J. Morris Law Library. This position will report directly to the Research & Administrative Services Librarian. Morris Law Library supports the Law School’s mission of excellence in teaching, research, and publication.The Library Finance and Administration Assistant serves a vital role in ensuring the Law Library’s success in fulfilling its mission to the Law School community. The ideal candidate will be conscientious and dedicated to getting the details right, with excellent organizational and computer skills, strong communication skills, and a knack for customer service.Responsibilities include:Analyze fund accounts, special projects, or tasks to ensure appropriate entries are made and monitor the account balances.Maintain financial records for department funds, following University and departmental policies and procedures, and maintain all documentation and records to meet audit requirements.Provide procurement and expense support, including monitoring inventory of, ordering, and organizing supplies, and preparing purchase orders and payment vouchers, and assisting Library staff with expense reimbursements.Process invoices in a timely manner in compliance with the University's prompt pay requirements.Communicate with suppliers to resolve payment questions or accounting discrepancies.Serve as a department representative in pan-institutional finance initiatives or committees; attend standing meetings and training sessions as needed.Assist with analyzing Library accounts payable workflows and methods for opportunities to reduce redundancy and employ automation tools and methods.Help with day-to-day administrative functions, including organizing library operations documentation, helping schedule meetings and events, and other duties as assigned.Required QualificationsHigh School diploma required. Ability to work independently and to prioritize and manage multiple tasks in a fast-paced and process-oriented environment.Mathematical ability.Working knowledge of and experience with spreadsheet applications.Experience with one or more of the following preferred: MS 365, WorkDay Finance, SirsiDynix/Workflows, library catalog systems (ILS).Preferred QualificationsBachelor’s degree.Two or more years of work experience in an academic library.This is a full-time University Operational and Administrative staff position with .This is primarily a sedentary job involving extensive use of desktop computers.
