SUMMARYOperates multi-line telephone system to relay incoming, outgoing and interoffice calls and receives callers and visitors at establishment, and directs callers to destination by performing the following duties.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.Directs visitors to sign the visitor registry, obtains name of visitor and person called upon, and contacts staff member to receive visitor.
  • Maintains proper business decorum in the reception area. Supplies general business or referral information to callers. Records messages when staff members and department secretaries are unavailable to receive calls.
  • Receives deliveries according to CAO purchasing procedures and routes to proper department through departmental or maintenance staff.
  • Maintains scheduling calendar for use of public rooms, visitors and refers outsides groups to appropriate staff person for arrangement of fees and services.
  • Performs variety of clerical duties as assigned.
  • Assists HR Department with clerical duties
  • Maintains confidentiality concerning personnel actions/issues, legal actions, terminations, non-renewal documents and organizational plans.

One year certificate from college or technical school plus one year work experience in a busy office environment; or two years related experience and/or training; or equivalent combination of education and experience.LANGUAGE SKILLSAbility to read and interpret documents such as operating and maintenance instructions and procedure manual. Ability to write routine reports and correspondence. Ability to communicate effectively with all clients, visitors, Board members, volunteers, and employees of organization.MATHEMATICAL SKILLSAbility to add, subtract, multiply, and divide using whole numbers and decimals.REASONING ABILITYAbility to apply commonsense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables in standardized situations. High level of tact, cultural sensitivity, understanding of business communications and confidentiality required.OTHER SKILLS AND ABILITIESFamiliarity with multi-button switchboard and electronic keyboard required; basic computer skills desirable.
