- Data Entry: Enter payroll data, including new hires, terminations, changes in salary or benefits, and timekeeping information into the payroll system. Verify accuracy of data and resolve any discrepancies.
- Benefits Administration: Assist with the administration of employee benefits, including health insurance, retirement plans, and other employee deductions. Ensure accurate deduction of benefits premiums from employee paychecks.
- Tax Withholding: Calculate and deduct federal, state, and local taxes from employee wages in compliance with tax regulations. Prepare and submit payroll tax deposits and reports to relevant government agencies.
- Payroll Reconciliation: Reconcile payroll accounts and resolve discrepancies between payroll records and general ledger accounts. Prepare payroll journal entries for posting to the accounting system.
- Payroll Reporting: Generate and distribute payroll reports, including earnings statements, tax reports, and labor distribution reports, to management and employees as needed.
- Recordkeeping: Maintain accurate and organized payroll records, including employee files, tax forms, and payroll registers. Ensure compliance with record retention policies and regulations.
- Compliance: Stay informed about changes in payroll regulations, tax laws, and labor laws. Ensure compliance with federal, state, and local regulations governing payroll practices.
- Customer Service: Provide excellent customer service to employees regarding payroll inquiries, deductions, and tax withholding. Respond promptly and courteously to employee requests for information or assistance.
- Experience: Minimum of 2 years of experience in payroll processing or related role. Experience with payroll software (e.g., ADP, Paychex, QuickBooks) is highly desirable.
- Software Proficiency: Proficiency in payroll software and Microsoft Office applications, particularly Excel. Ability to learn new software systems quickly.
- Attention to Detail: Meticulous attention to detail and accuracy in data entry, calculation, and recordkeeping.
- Organizational Skills: Exceptional organizational and time management skills to prioritize tasks effectively and meet deadlines in a fast-paced environment.
- Communication Skills: Excellent verbal and written communication skills, with the ability to communicate effectively with employees, managers, and external stakeholders.
