The Advanced Regenerative Manufacturing Institute (ARMI) is a membership-based not-for-profit organization in Manchester, NH that was founded to transform healthcare by enabling the scalable, consistent, and cost-effective manufacturing of human cells, tissues, and organs.In pursuit of that mission, ARMI seeks a competent Office Manager responsible for ensuring the smooth running of the office's day-to-day operations of multiple office buildings, creating and maintaining a pleasant work environment, and ensuring high levels of organizational effectiveness. Additionally, this person will work closely with the Finance Department on specific, limited accounting responsibilities.
  • Serve as the point person for addressing administrative and office coordination needs, including, but not limited to, maintenance, mailings, supplies/inventory, space, and computer equipment.
  • Assist in coordinating meetings and appointments by writing agendas, ordering food, and providing general support to visitors, such as securing Wi-Fi access and parking.
  • Manage floor plans and seating and work with HR and vendors to execute those initiatives.
  • Coordinate with IT staff on all computer software subscriptions, equipment, and building access needs.
  • Maintain e-mail groups on the server and be the point person for coordinated communication across the organization.
  • Create and order business cards for new hires and title changes.
  • Work with external agencies and events teams to help coordinate internal events and ensure their success.
  • Manage systems and business office processes, including data systems, tracking systems, travel, attendance, and scheduling systems.
  • Work with staff to ensure that processes and procedures are followed promptly and efficiently.
  • Assist the Finance Department in various accounting tasks, including checking and opening mail daily, placing online purchase orders, and other data entry tasks as needed.
Required competencies

  • Ability to be onsite five days a week. (this is not a remote or hybrid position)
Desired Competencies
  • Experience as an office manager, front office manager, or administrative assistant
  • Software knowledge: Microsoft 365, Monday.com, Adobe, and Salesforce
