The Duke Regional Biocontainment Laboratory (RBL) Program Assistant position will serve as key administrative support for RBL investigators and staff. This position will be responsible for day-to-day administrative/office needs of the state-of-the-art biocontainment facility. The position also supports research by tracking scientific equipment and service contracts, coordinating deliveries, and reviewing orders for compliance with financial policies. The DHVI Safety Team, which is based out of the RBL, is also supported by this position.RESPONSIBILITIES: * Provide administrative support to RBL leadership.
- Schedule and coordinate arrangements for seminars, conferences, meetings, and speaking engagements as needed.
- Assist with scheduling visitor access, maintaining visitor instruction guide, and managing parking passes.
- Maintain office supplies and equipment.
- Place orders in Buy@Duke to support RBL operations. Review shopping carts to ensure compliance with Buy@Duke and Duke Procurement policies. Serve as onsite resource for RBL staff on instruction and guidance for proper use of Buy@Duke.
- Prepare monthly reports of outstanding goods receipts and coordinate with RBL staff to ensure timely compliance with requirements. Work with vendors to track deliveries and backorder status to enable timely close out of Purchase Orders.
- Prepare travel and expense reports for reimbursement for RBL leadership.
- Screen and route mail and documents. Assist RBL staff with outgoing commercial shipments as needed. Notify RBL staff of package deliveries.
- Attend program and operations meetings to take minutes and monitor action items.
- Assist in the preparation and monitoring of budgets based on program activities and departmental operations.
- Perform other related duties as needed by RBL leadership.
- EDUCTION/TRAINING: Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.
- EXPERIENCE: Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, budgetary/accounting activities, OR an equivalent combination of education and relevant experience.
