- Develop comprehensive project schedules, including timelines, resources, and tasks for Project Managers
- Collaborate closely with Project Managers, Directors, and Team Leads within Professional Services to understand and develop project scheduling rules, requirements, and constraints
- Manage the utilization of our Project Management system (Certinia, also known as Financial Force) to manage project templates, billable utilization calculations, and other necessary tasks and reports to successfully execute projects
- Liaise efficiently with multiple departments, including Sales, Marketing, Library Relations Managers, Hosted Operations, and Executives, by delivering comprehensive reports, project timelines, and timely responses to Requests for Proposals (RFPs) pertaining to project schedules
- Participate in the administration and management of the company’s learning management system
- Interface directly with SirsiDynix customers to address inquiries and facilitate the utilization of subscription credits for accessing items from the SirsiDynix Services Catalog, ensuring a seamless and satisfying user experience

- Demonstrated flexibility in scheduling and tracking tasks within the internal systems of various departments, accommodating potential differences from our own system
- Generate and maintain day-to-day records and reports for management, ensuring timely responses to requests as required.
- Proactively escalate project scheduling issues and delays to management while consistently keeping them informed of schedules, priorities, and any encountered challenges
- Monitor staffing capacity and availability to ensure alignment with both customer and company contractual timelines.
- Foster effective cross-departmental communication, navigating differing opinions and perspectives on administrative procedures, technical issues, work priorities, and other essential information as required.
- Perform other duties as assigned
- Associate degree or equivalent experience in business or a related field.
- 6-12 months of general office experience
- Academic, internship, or work experience coordinating business-related projects preferred, but not required
- Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint)
- Possess strong problem-solving, organizational, and time management skills
- Capable of effectively managing high volumes of requests with excellent written and verbal communication
- Must be able to work independently and with little supervision
- Working knowledge of project management principles and learning management systems preferred, but not required
- Qualified candidates must be able to pass a background check and drug test (including marijuana)
- $45,000 to $55,000 pay range depending on qualifications
