- Accounts Receivable Administration:
- Generate invoices and maintain collection activities.
- Accounts Payable Processing:
- Respond to external vendors and internal managers regarding all aspects of the accounts payable process.
- Process invoices for payment, record sales tax, and assist with bank and other account reconciliations.
- Prepare and issue vendor, subcontractor, and consultant payments.
- Verify the accuracy of vendor invoices and confirm correct general ledger account codes.
- Company Payroll Management:
- Enter and maintain employee information in payroll systems.
- Calculate and prepare biweekly payroll.
- Review employee time cards and produce timekeeping reports.
- Review, reconcile, and process employee credit card expense statements and travel reports.
- Financial Tracking and Reporting:
- Monitor account balances, track expenses, and prepare analyses of accounts.
- Produce monthly financial reports.
- Review automatic payments for correct coding and authorization.
- Maintain numerous databases for tracking and reconciliation.
- Perform monthly reconciliation of credit card and bank statements.
- Month-End Closing and Audits:
- Assist with month-end closing, including accruals, journal entries, and reports.
- Generate other financial reports as requested.
- Prepare for annual audits.
- Distribute annual IRS forms.
- Compliance and Record Keeping:
- Ensure compliance with GAAP internal accounting procedures.
- Maintain accurate records, including ledgers, journals, receipts, and invoices.
- Collaboration and Administrative Tasks:
- Work in partnership with other accountants and HR.
- Perform additional administrative duties as needed.
- Understanding of GAAP accounting principles.
- Familiarity with QuickBooks (Enterprise/Desktop), Microsoft Excel, and Microsoft Outlook.
- 3-5 years of general accounting experience
- 3-5 years of experience working with accounts receivable, accounts payable, and payroll
- Associate or Bachelor’s degree in accounting or related field preferred
- Experience with QuickBooks (desktop) – eFAACT a bonus
- Working knowledge of Government Contracting a plus
