  • Provide crucial administrative support to the property management team, ensuring smooth day-to-day operations.
  • Act as a central point of contact for internal and external communications, handling inquiries and coordinating information flow.
  • Maintain accurate records, prepare reports, and assist with documentation to support effective property management.
  • Manage calendars, schedule appointments, and coordinate meetings to optimize the team’s productivity.
  • Build positive relationships with clients, tenants, and vendors, demonstrating a commitment to excellent customer service.
Requirements
  • Assisting walk-in clients in the lobby.
  • Handle all incoming mail and packages and distribute them to the correct department.
  • Document & handle client-returned mail through the mail process.
  • Process all incoming invoices.
  • Prepare notices, letters, and correspondence for the community manager to review and sign.
  • Prepare mailings, including printing and applying mailing postage to notices, letters, and correspondence.
  • Respond to incoming phone calls, voice mail messages, and e-mails.
  • Use company software to assign and follow up on tasks.
  • Maintain various office files and provide general office filing support.
  • Processes print jobs, scanning and faxing as needed.
  • Other duties assigned.
